  • All records are tax records.
  • There are up to two images per batch.

Description of the Records[edit | edit source]

  • The records were handwritten on preprinted forms.
  • The tax record forms may contain up to 45 records, or more, on each image.

What to Remember as You Index This Project[edit | edit source]

  • If the document includes the names of original grantees as well as owners, be sure to index the names of the owners, not the original grantees. It is possible that the name of only one owner might be indexed from an entire image.
  • Click here for an example
  • Some names will have ditto marks or other signs of repetition following them. You only need to index each complete name one time. Then skip over the ditto marks to the next name. Do not index a line with ditto marks on it.
  • If a name begins with the words "For the heirs", "By", or "For", index the name only, do not include "For the heirs" "By", or "For" in the given names or surname fields.
  • If the owner of the land is listed as "John Doe for Bob Smith", index John Doe as one record, then add a second record and index Bob Smith.
  • If the owner of the land is a company, (even if the company has an individuals name in the title) do not index the company in the given names or surname fields.
  • If the owner of the land is a woman using her husband's name (i.e. Mrs J D Smith), to index her name, index the Mrs in the titles or terms field, index J D in the given names field, and Smith in the surname field.
  • If two or more owner's names are listed as a single entry on the record, index each name individually as separate records in the data-entry area.
  • The data-entry area is set at one record per image. But you will usually find many more individuals listed on an image. If your batch includes images with more than one name, please add additional entry lines in the data-entry area to match the actual number of names on your image. To add entry lines:
  1. On the menu bar, click Tools.
  2. Click Records per Image...
  3. In the box next to Number of Records, type the number of records on the image.
  4. Click Ok.
  • When indexing an image, you might find an entry for which the word unknown is recorded. Do not mark the entry as blank; simply continue to the next recorded name and enter it in the data-entry area. If the word unknown is the only entry in the Owners column for the entire image, mark the image as No Extractable Data Image.

  • If your batch includes the second page of a two-page tax record, mark the image as No Extractable Data Image.
  • Please use the ruler while indexing this project.
  • Ruler
    If you use the ruler, please be aware that the ruler is not anchored to the indexing screen and does not automatically move as you move to a new entry. To see the ruler:
  1. On the menu bar, click View.
  2. Select Show Ruler.

Damaged Pages

  • Some records were damaged and are unreadable. When an entry line or part of an entry line is unreadable, mark the record or the field as Unreadable, and continue to index the records or fields that are readable.
  • To mark a field as unreadable, press Ctrl+U or do the following:
  1. On the menu bar, click Edit.
  2. Select Mark Field/Record.
  3. Click Mark Field Unreadable.
  • To mark an entire entry line (a record) as unreadable, press Ctrl+Shift+U or do the following:
  1. On the menu bar, click Edit.
  2. Select Mark Field/Record.
  3. Click Mark Record Unreadable.


Because of the many different forms found in this project, highlights are not available. You may use the ruler instead to follow a record across an image.
Handwriting Helps

  • Many of these records are handwritten. It may be helpful to view the handwriting help available on the data entry screen.
  • To access this help, on the toolbar just above the data entry area, click on theHandwriting Help icon (which looks like an inkwell with an orange feather quill).
